What is RPL?

RPL - Recognition of Prior Learning The process is for students who want recognition of their acquired skills and ECTs received from prior learning.

The skills, which will be taken into consideration can be e.g. 

  • earlier studies 
  • simulated work situations or work experience 
  • portfolios, assessment interviews

Before filling in an eRPL application 

As a first step discuss with your teacher tutor. Study guidance discussions are mandatory in the RPL process and they help the student with filling in the application. An application that has been filled in corretly makes the RLP processing faster. 

In the study guidance discussion the student and the teacher tutor verbally agree on RPL. If a student's prior study or competence compensates for a UAS study unit, this unit can be added to the student's PSP during the study guidance discussion. In the case of several RPL units (eg. the student has completed path studies or transferring from another institution), the student and the tutor teacher fill in a form compiling all units. Prepare to present an original or a verified copy of your prior studies or competence with your degree certificate. 

Different forms of RPL 

The recognition of prior learning can take place through substitution, inclusion or skills demonstration.

Substitution means that a student's prior competence or studies substitute for a unit in the student's PSP.

If there are no similar units in the PSP, prior studies or competence can be included in the degree for example as part of elective studies.

If the prior competence only substitutes for a part of a UAS unit, skills for the rest of the unit must be demonstrated to a teacher. In this case the student and the teacher write down the agreement for the missing part of the unit in the eRPL system. 

Please note that prior studies completed more than 10 years ago cannot be used for substitution or inclusion. If you have completed studies more than 10 years ago and you are competent in the subject, you can agree on RLP with a teacher through skills demonstration. 

Translations in English 

Some information is requested in Finnish and in English. When you are filling in the application, it is your obligation to also write down the requested information in English. These translations will be in your degree certificate. Every graduating student will receive a translation of their certificate and a transcript of records in English. Insufficient applications will be returned to the student to complete. 

If the previously conducted studies can be found from Puro service (puro.joopas.fi), you can check if the English translation of the studies is written in there as well. You can see the possible translation by taking the cursor on the name of the study unit. If the translation is not available on Puro, you can look for the translation online from the study guides of the education institute in question. If there is no translation available, please contact the education institute where the study unit has been conducted. 

New application 

Go to Peppi. You can find the eRLP section under My studies. 

Start the process by making a new application. 

* Compulsory fields are marked with a red star. The fields are compulsory because this information is required for the degree certificate and for UAS statistical monitoring.  See the example for further instructions on how to fill the application..

Information of the study guidance discussion 

Fill in the following information:
– Date of the study guidance discussion 
– Person who the discussion was with 
– In the additional information state what type of RLP you are applying for (substitution, inclusion, skill demonstration) and where you have completed your prior studies or acquired your competence. 
Remember to save. 

 

Places of performance 

Add a new institution or organisation of prior learning. 

Fill in information about your prior studies or competence in this section. 

If you are applying for RPL from several different institutions, add every institution to the application individually. 

Select a type for the place of performance (educational institution, work experience, other) 

Educational institution 

  • Select in the list the type of the institution and the educational institution 
  • Name of the study (write name of the earlier degree for example Bachelor degree of business administration). The name of the course will be filled in later. 
  • You can also write description or the competences acquired compared to the competence goals
  • Add at least one attachment (certificate, transcript of records) 
  • Save 

Work experience OR other (for example hobbies or army) 

  • Leave the following fields empty: Place of performance type, Employer / other 
  • Select ”The employer can not be found in the menu” 
  • Fill in the employer name in Finnish and in English 
  • You can also write description or the competences acquired compared to the competence goals 
  • Add at least one attachment (Reference, employment certificate, other document) 
  • Save 

Studies or competences 

Add a previously acquired competence or a previously completed study by clicking the buttons.

Previously acquired competence 

The application window is divided into three sections: 
1. Information about the existing competence 
2. Studies for which credit transfer is sought (substitution =pick up from PSP, inclusion = add yourself) 
3. Studies selected to application 

Fill in the information for each three columns. If you are not sure how to fill in the information, please check the case descriptions for further instructions. After you have filled in the information for each three columns, select “Save”. After saving, you can see the information under “Studies or competences”. You can edit the information from the pen icon. You can add other competencies from the selection button. 

Editing saved application

The application is saved as a draft and remains as a draft until you send it to the handler. The sending button is on the right top corner of the application.

Once you have sent the application, you cannot no longer edit it. Therefore, please fill in the application carefully. The handler will return or decline an incomplete or wrongly filled application. Please follow the handler’s instructions if the application returns to you. You will get an e-mail notification if the application returns to you.

Correction process of the RPL

Jos opiskelija on tyytymätön opintosuorituksen hyväksiluvusta tehtyyn päätökseen, hän voi pyytää siihen suullisesti tai kirjallisesti oikaisua hyväksiluvusta päätöksen tehneeltä. Oikaisu-pyyntö on tehtävä 14 päivän kuluessa siitä, kun opiskelija on saanut tiedoksi hyväksilukemista koskevan päätöksen. 

Oikaisupyynnöstä tehtyyn päätökseen tyytymätön voi hakea oikaisua LAB-ammattikorkeakou-lun tutkintolautakunnalta 14 päivän kuluessa päätöksen tiedoksisaannista. Oikaisumenette-lyssä tehtyyn päätökseen ei saa hakea muutosta valittamalla.

Cases

In all cases presented below, you have already filled in the place of performance to the system. Choose the right case for your RPL and follow the instructions below.  

Case 1. Prior study unit substitutes a study unit in PSP 

Case: You have completed a study unit in another education institute that corresponds a study unit in your PSP in terms of the content and extent. 

The first column on the application window 

  • ID field will be left empty 
  • Name field both in Finnish and English 
  • Credits and Type of scale 
  • Language in which the study unit was conducted 
  • Grade 
  • Choose the right place of performance particularly to this study unit 
  • Date of the original performance of the study unit 
  • You can write more information to the Justifications field 
  • Choose your teacher tutor or someone else agreed in the study guidance discussion as a handler 

The second and third columns on the application window  
If you have agreed with you teacher tutor on substituting a study unit on your PSP with a prior competence, pick up the study unit which you want to substitute on the second column. Note! Add one study unit at a time for one application so that the handler can do in each separate decision. Chosen study unit will appear on the third column “studies selected to the application”. When you have finished, click save. After saving, you can see the application. You can add other competences from the selection buttons. 

Case 2. Prior study unit is included into the degree (e.g. into complementary competence) 

Case: You have completed a study unit in another educational institute which you want to include into your degree, but there is no substituting study unit in you PSP. 

The first column on the application window 

  • ID field will be left empty 
  • Name field both in Finnish and English 
  • Credits and Type of scale 
  • Language in which the study unit was conducted 
  • Grade 
  • Choose the right place of performance particularly to this study unit 
  • Date of the original performance of the study unit 
  • You can write more information to the Justifications field 
  • Choose your teacher tutor or someone else agreed in the study guidance discussion as a handler 

The second and third columns on the application window 

If you are transferring studies which do not have substituting study units in your PSP, the studies will be included, for example, in complementary competence. In this case, the study units will be listed in PSP with their original titles.  

  • Note! Add one study unit at a time for one application so that the handler can do in each separate decision. 
  • ID field will be left empty 
  • Fill in the information both in Finnish and English, for example Markkinointi / Marketing (for more information about translations, please check chapter “Translations in English” on this page)
  • Add the credits you are applying for to transfer (1 credit = 27 hours of work) 
  • Click “Add” and the information will transfer to the third column “Studies selected to application” 
  • When you have finished, click “Save” 

Case 3: Prior competence (work experience or other) substitutes a study unit in PSP 

Case: You have gained prior competence through work, hobby or other ways and you want to substitute a study unit in your PSP with this competence. Check the content of the study unit you want to substitute and compere your competence to it.  

The first column on the application window 

  • ID field will be left empty 
  • Choose the right place of performance particularly to this study unit 
  • Add the date of performance. For example, if the competence is gained with work experience choose the date when your employment ended, or you received the work certificate. 
  • You can write more information to the Justifications field 
  • Choose your teacher tutor or someone else agreed in the study guidance discussion as a handler 

The second and third columns on the application window 
If you have agreed with you teacher tutor on substituting a study unit on your PSP with a prior competence, pick up the study unit which you want to substitute on the second column. Note! Add one study unit at a time for one application so that the handler can do in each separate decision. Chosen study unit will appear on the third column “studies selected to the application”. When you have finished, click save. After saving, you can see the application. You can add other competences from the selection buttons. 

Case 4: Prior competence is included into the degree (e.g. into complementary competence) 

Case: You have gained prior competence through work, hobby or other ways and you want to include the competence into your degree. 

The first column on the application window 

  • ID field will be left empty 
  • Choose the right place of performance particularly to this study unit 
  • Add the date of performance. For example, if the competence is gained with work experience choose the date when your employment ended, or you received the work certificate. 
  • You can write more information to the Justifications field 
  • Choose your teacher tutor or someone else agreed in the study guidance discussion as a handler 

The second and third columns on the application window 
If you are transferring a prior competence which does not have a substituting study unit in PSP, the competence will be included into, for example, complementary competence. In this case, competence will be listed in PSP with their original titles.  

  • Choose “Add yourself” on the second column of the application. Note! Add one study unit at a time for one application so that the handler can do in each separate decision.
  • ID field will be left empty 
  • Fill in the information both in Finnish and English, for example Toimistosihteeri / Office secretary (for more information about translations, please check chapter “Translations in English” on this page)
  • Add the credits you are applying for to transfer (1 credit = 27 hours of work)  
  • Click “Add” and the information will transfer to the third column “Studies selected to application” 
  • When you have finished, click “Save” 

Case 5: Several different study units substitute one study unit in PSP 

Case: You have several study units which together correspond to the content of the study unit in your PSP. You want replace study unit in your PSP with those prior completed studies.  

In this case, the procedure is the same as applying for substitution with one study. Fill every study’s information one by one, like in case 1. Pick up the study unit which you want to substitute on the second column on the application window. Chosen study units will appear on the third column “studies selected to the application”. Pick up same PSP’s study unit for each prior completed study and write on justifications -fields (on first column on the application window) as precisely as possible what you had agreed with your tutor teacher about RPL (e.g., XAMK study unit “Marketing” 3 cr and Laurea study unit “Marketing basics” 2 cr replaces together PSP’s study unit “Marketing communications” 5 cr).  

Case 6: Several prior competences substitute one study unit in PSP 

Case: You have several different competences which together correspond to the content of the study unit in your PSP. You want replace study unit in your PSP with those prior completed competences. 

In this case, the procedure is the same as applying for substitution with one prior competence. Fill every competences information one by one, like in case 3. Pick up the study unit which you want to substitute on the second column on the application window. Chosen study units will appear on the third column “studies selected to the application”. Pick up same PSP’s study unit for each prior competence and write on justifications -fields (on first column on the application window) as precisely as possible what you had agreed with your tutor teacher about RPL (e.g., Supervisor experience gained through work experience and leadership training in the military replaces together PSP’s study unit “Work community management” 5 cr). 

Case 7: Both study unit and competence substitute one study unit in your PSP 

Case: You have prior study unit and some other competence which together correspond to the content of the study unit in your PSP. You want replace study unit in your PSP with those prior completed study/competences.  

In this case you have to fill study unit information and other competence information one by one, like in cases 1 and 3. Pick up the study unit which you want to substitute on the second column on the application window. Chosen study units will appear on the third column “studies selected to the application”. Pick up same PSP’s study unit for prior study unit and prior competence and write on justifications -fields (on first column on the application window) as precisely as possible what you had agreed with your tutor teacher about RPL (e.g., XAMK study unit “Marketing” 3 cr and my work experience as a marketing designer replaces together PSP’s study unit “Marketing communications” 5 cr).  

Case 8: Study unit both substitutes the study unit in PSP and some of the credits are included in the degree (e.g., into complementary competence) 

Case: You have completed 10 ECTS Marketing course at another educational institution, but the marketing course in your PSP is 5 ECTS.  

You can apply substitute 5 ECTS study unit in marketing if the contents of the courses are the same. Make application as in case 1. Remaining 5 ECTS you can include in your degree, e.g., complementary competence. Make application as in case 2. Write on justifications -fields (on first column on the application window) as precisely as possible what you had agreed with your tutor teacher about RPL.  

All studies/competences for which you want to apply RPL, you have to make separately part of application, as in cases 1 or 2, so that the handler can make own decisions of them. Therefore, you cannot pick up / add several different studies for the same application on the application window’s second column.

Case 9: Study unit’s/competences extent is less than extent of the study unit you want to substitute (supplement by a skills demonstration) 

You have completed study unit, or you have some other competence, but extent is less than extent of the study unit what you want to substitute in you PSP. In accordance with our policy, partial substitution is not recorded in Peppi. The missing part of the course you have to supplement by a skills demonstration shown to you by the teacher. The teacher may also ask the student to think about how the complete the missing part of the study unit.

Make the application in the normal way as in case 1 (prior learning is studies) or as in case 3 (prior learning is other competence). Write to the application your suggestion how to complete the missing part of study unit. When missing part is has been agreed with teacher, teacher make contract in Peppi’s eRPL -system. The contract states how the missing part is to be performed and on what schedule. Follow the instructions given by the teacher.

Case 10: Substitution of several PSP’s study unit with prior study / other competence

Case: You have completed 10 ECTS Marketing course at another educational institution and you want to substitute two study unit in your PSP with that.

All studies/competences for which you want to apply RPL, you have to make separately part of application, as in cases 1 or 3, so that the handler can make own decisions of them. Therefore, you cannot pick up / add several different studies for the same application on the application window’s second column.
